Data Retention & Deletion Policy

Dance Wales UK is committed to the safeguarding and well-being of its members and have measures in place for storing it’s members data. This policy will outline how data is stored and deleted and the time period that Dance Wales UK hold of its members data.

Data Storage

Dance Wales UK only holds necessary data on its members. When a member joins the school, they will be given an emergency contact form, photography and videography permission slip and data processing consent form. Once these forms are filled in and returned they will be kept in a locked filing cabinet. The emergency contact forms will be necessary to bring to practise and taken to competitions, in the event of an emergency. These forms will be kept in a locked brief case and in possession of Kerry Dale or a volunteer or member of staff that has signed and understands our data policies. The only data kept on the computer is for the purpose of registration and payments. Security measures are outlined in our Data Protection Policy.

Data Deletion and Retention

We discourage the retention of data for longer than is required. All personal data will be deleted or destroyed by us after 2 weeks of leaving the school. Members details will only reappear if they become affiliated to Dance Wales UK again. We will give members pre-warning that their data is about to be deleted via email, with a time frame of two weeks to change their mind.

If a member has not attended classes for  two whole month’s and has given no reasonable explanation for their absence, their data will be deleted, and they will be notified via email.
